What we collect

When you complete the contact form, we collect your name, the name of your school or organisation, your email address, your phone number and anything you choose to tell us in the message box.

When you sign up for our sports floor maintenance tips, we collect your email address.

When you email or telephone us, we keep the correspondence and the contact details in it.

When you visit the site, our hosting provider records technical information such as your IP address, browser type and the pages you looked at. This website does not use cookies.

We do not collect special category data, we do not knowingly collect information about children, and we do not use automated decision making or profiling.

Why we use it, and our lawful basis

  • To answer your enquiry. Our lawful basis is our legitimate interest in replying to people who contact us, and taking the steps you ask for before any contract is agreed.
  • To send our sports floor maintenance tips. Our lawful basis is your consent, given when you sign up. You can withdraw it at any time using the unsubscribe link in every email, or by emailing info@biddlesport.co.uk.
  • To quote for work, carry it out and look after the floor afterwards. Our lawful basis is performance of a contract with your school, or our legitimate interest in running the business where the contract is with your school rather than with you personally.
  • To keep records of quotes, projects and correspondence. Our lawful basis is our legitimate interest in being able to show what was agreed and to support floors we have worked on.
  • To meet our accounting and tax obligations. Our lawful basis is legal obligation.

We only send our tips to people who have signed up for them, and we will not add you to that list because you sent us an enquiry.

Who we share it with

Our suppliers. Our website is hosted by GoDaddy. Enquiries from the contact form go into Capsule, our customer records system, provided by Zestia Ltd. Tips sign-ups are also kept in Capsule, and our tips emails are sent using Transpond, Capsule’s email tool, also provided by Zestia Ltd. Our email is provided by Microsoft. All of them act on our instructions and may not use your information for their own purposes.

Professional advisers and authorities, where we are required to share information by law.

We do not sell your information, and we do not share it with anyone else.

Where it is kept, and for how long

The website itself does not store anything you send us. Contact form entries go straight into Capsule and are emailed to us. Capsule keeps its data with Amazon Web Services in the United States. Tips sign-ups are kept in Capsule in the same way. Our website is hosted by GoDaddy, and our email is held on Microsoft servers.

Where any of these suppliers keep information outside the UK, the transfer is protected by the safeguards UK data protection law requires, such as approved contract terms.

  • Enquiries that do not lead to work: kept for 24 months, then deleted.
  • Tips sign-ups: kept until you unsubscribe.
  • Schools we have worked for: kept for 7 years after the last project, so that we can support the floor and meet our accounting obligations.

Keeping it safe

The site runs over an encrypted connection, access to our customer records and our email is restricted to Mark and Rosalien Biddle, and we have procedures for dealing with a suspected breach, including telling you and the ICO where the law requires it.

Your rights

Under UK data protection law you have the right to:

  • be told what we hold about you and get a copy of it
  • have anything inaccurate corrected
  • have your information deleted, where we have no continuing reason to keep it
  • restrict how we use it while a question about it is resolved
  • object to us using it on the basis of legitimate interests
  • receive it in a portable format
  • withdraw your consent at any time, which does not affect anything done before you withdrew it

To exercise any of these, email info@biddlesport.co.uk. We will respond within one month, and there is no charge unless a request is clearly unfounded or excessive.

If you are not happy with how we have handled your information, please tell us first so that we can put it right. You also have the right to complain to the Information Commissioner’s Office at ico.org.uk, or on 0303 123 1113.

This site may link to other websites. We are not responsible for how those sites handle your information, so it is worth reading their own privacy notices.
